Meeting Minutes:

President – Frank French Thank you to everyone who came helped and made a donation to make the supper a success. Next months supper will be pork roast. County meeting March 19th hosted by the Connecticut Valley Snowmobile Club at the Morrill Municipal Building in Haverhill. Election of officers is next month, anyone wanting to run for office should contact on of the current officers. We do have vacancies for the Secretary and the Treasurer positions. Annual donation to the Hebron Village Church of $350. Motion made, seconded and approved. Received paper work to sponsor the TTCC baseball team again this year, motion made, seconded and approved to sponsor a team for another year. Discussion was held on whether the club should have a dues increase this year, motion made, seconded and approved to table any dues increase for this next year. Each season the club puts out club ride list, the attendance on club rides has been poor. Suggestion was made to drop the club rides, or identify ride leaders so no one member feels responsible to lead all the rides. Miles Sinclair volunteered to be the contact person for the club rides if we should continue to issue a ride list. Discussion on club rides was tabled until the September meeting. We would like to welcome Larry Kill back after his illness.

Treasurer – Vacant Written report was given by Sharon Chauvin Written report was accepted as amended.

Vice President – Larry Kill Thank you for all the concern and cards while I was sick. Non-profit application has been file and is in process, should hear something within 60 days if additional information is required.

Trail Master – Tim Gallagher At Trailmasters meeting in December Miles Sinclair attended the groomer operator safety course, certificate received and presented to Miles. Congratulations on a completion of training. Groomer maintenance to the BR180 - rear flood lighted not working due to a blow and melted fuse and wire, not sure why this happened. Ordered switch for rear lights and spare light bulbs. Researching cutter bar for drags, talking to clubs that use it, initially when the cutter is used the groomer operator will have to stop and clear the brush off the drag. The cutter is mounted to the side of the drag it will extend up 7 – 11 feet. Received a quote for an 8 foot brush bar at $3,650 which includes the mounting on one drag, the cost of a second mounting is $500 Concerns about the keeping and brush out of trail. The reason the club is obtaining information on this type of equipment is that we have 100 miles of trails and a limited number of member volunteers and there is no way to get every trail brush cut annually. Motion was made to apply for Grant & Aid funds to help pay for the cutter if funds were denied we will try again next year. Motion made and second and approved. One of the 8 foot drags was sold to the Bow Pioneer Snowmobile Club for $3,000. Thank you to Bill Sargent, Dave Sargent, Miles Sinclair and Alan Barnard for their time in the groomers maintaining the trails for member and non-member use this winter.

Trail Administrator – Alan Barnard Grant & Aid invoicing for February grooming was sent in total invoice is $14,308.05. As of today the club has spent 898 hours grooming the trails (Tucker hours 580 – BR180 hours 318) the contract is for 700 hours. The state granted a 28% increase hours in grooming hours for a total of 196 additional hours. To date we have maxed out the increase. Grooming will continue and an invoice will be sent to the state. We will apply for additional hours for next years winter Grant and Aid application. Cost per hour to operate the groomers is about $10. They average 3 miles per gallon. The groomers went 102 hours on fuel that cost $1,100, received additional fuel at a cost of $2,000. Application for summer Grant & Aid will possibly include equipment requests for a brush cutter for the drag and a winch for the groomer. The tucker is having problems with the tracks failing, Cooks Equipment has been notified, pictures of the tracks have been sent to Cooks and the officers. We will be the first in the area putting in for warranty coverage for failing tracks. The state will also be notified. Drags have been inspected tightened bolts, otherwise running good. Received approval from DRED and DOT for the connector permit for Route 118, to go from Bryant Pond to Province Road via the 40 Foot Bridge to Lyme. Communication from groomers still an issue, safety of operates a concern, the club will have something in place for the next grooming season. May have to contract cell phones or pay for installation of radios if we can be assured they will work.

Secretary – Sharon Chauvin Reminder elections are next month and I have written the duties of the Secretary and the Treasurer if any one is interested in reviewing them before making a decision to run for the Secretary or Treasurer vacancy.

Date of next meeting April 12th at 7:30 pm at the Hebron Village Church. Meeting Adjourned at 9:15 pm.

Other news: The Turkey supper generated a profit of $609. We served 109 people plus 3 land owners for a total of 112 people and the supper raffle took in $133, donations of $4, T shirt Sales of $10 and the club sold left over steak of $42. We are looking for dessert donations or if anyone wants to make a monetary donation to help defray the cost of the food, it would be greatly appreciated.

Sincerely,

Sharon Chauvin Secretary
